If you are looking at your merchant statement wondering what the heck it all means, you are in the right place!

The top section of your statement is the Plan Summary. This breaks down your total monthly volume by the card brands that you accept in your office (VISA, MasterCard, Discover, and American Express).

It also lists the Discount Due (fees) for each of these card types (VISA, MasterCard, Discover, and American Express). The Discount Due applies to ALL transactions processed for the month:

The next section is Deposits. This will list your deposits per day (per batch). The numbers down the left column reflect the date the batch settled.  **Keep in mind this date will always be 1 day after the transactions were run in Cash Practice, as our system batches out automatically every day between 1 am-2 am.

For exampleDay 7 reflects transactions that ran on the 6th. Day 8 reflects transactions ran on the 7th, etc.

The Amount of Sales is broken down by each card brand (VISA, MasterCard, Discover, and American Express). The total deposit for the day MINUS any refunds (credits) processed that same day will be listed in the last column on your right, Net Deposit. This amount should match the deposit made to your bank account.

Saturday & Sunday will always be listed as Monday's date. In the example below, you will see Saturday and Sunday listed with Monday, all under Day 5. Saturday has 3 entries - VISA, MasterCard, and Discover (see below in green). Sunday has 3 entries - VISA, MasterCard, and Discover (see below in pink). Monday also has 3 entries - VISA, MasterCard, and Discover (see below in blue). But you will see only 3 deposit amounts for Day 5, one for Saturday $2,866.09, one for Sunday $3,592.75, one for Monday $1,993.84.

The last section is Fees. This breaks down your monthly fee, PCI annual fee (charged every April and June), non-PCI compliance fee (if applicable), all network fees charged directly by the card brands (which include Assessments, Acquirer Processing Fees, Data Usage Fee, Network Access & Brand Usage Fee, Digital Enablement Fee, etc. These fees are charged by ALL merchant service providers), Rate 2 and Rate 3 fees (when a special kind of credit card is used like a rewards card or business card) and authorization/transaction fees.

**REMINDER**

The annual PCI fees are billed on your April and June merchant statements every year under the FEES SECTION of your merchant statements:

  • April will have a $25.00 charge (on each statement, MOTO & RETAIL).
  • June will have a $45.00 charge (on one statement).                                  

 If you have a non-PCI Compliant fee on your statement, click HERE for information on completing PCI Certification. Once PCI Certification has been completed and passed, you will no longer be charged the non-PCI penalty fee.

Below the Fees section, you will see the total deducted for your processing fees for the month (Amount Deducted). The Amount Deducted is a combination of the Discount Due (from the top section,  Plan Summary) and the Fees Due (from the bottom section, Fees):

 

At the very bottom of your statement, there may be messages from Paya (the processing bank) letting you know of any changes or updates.
